Operations Executive to join us on a 12-month fixed-term contract to cover maternity leave.
Role and Responsibilities: As our Operations Executive, you'll be at the heart of keeping our
offices running smoothly and our people feeling celebrated and supported. This is a varied,
hands-on role where no two days look the same.
Your responsibilities will include:
- Leading technical onboarding and offboarding for new joiners and leavers, ensuring a
seamless experience
- Administering our sales tools and managing IT requirements, including our global
VoIP system
- Producing weekly sales reports and end-of-month company-wide presentations
- Supporting the Global Compliance Manager with day-to-day compliance tasks and
queries
- Sending out contractor and client contracts, ensuring timely execution and accurate
record-keeping
- Assisting with vendor onboarding forms and supporting wider compliance
administration
- Planning and coordinating birthdays, work anniversaries, and milestone celebrations
to recognise our team's achievements and tenure.
- Organising off-site incentive trips, monthly and quarterly socials, and our flagship
company summer and Christmas events
- Managing all travel arrangements through our specialised platform and providing
wider travel support across the business
- Overseeing office groceries and supplies for both the London and Austin offices
- Managing the day-to-day running of both the Austin and London offices, including
building management
- Owning Health & Safety management across both locations
Job Requirements:
- Previous experience in an operations, office management, or executive support role,
ideally within a fast-paced environment
- Excellent organisational skills with the ability to juggle multiple priorities and
deadlines
- Strong communication skills and a genuine enthusiasm for people and culture
- Confident with IT systems, sales tools, and reporting, or eager to learn quickly
- Experience coordinating events, travel, or office management is highly desirable
- A proactive, problem-solving mindset and a hands-on approach
- Comfortable working across time zones to support our Austin team
- A working knowledge of Health & Safety responsibilities (or willingness to learn)
